Faculty Assistants are an essential part of the Administration unit of the Haas School of Business. Under minimal supervision from the Faculty Assistant Supervisor incumbents provide comprehensive administrative support to faculty in coursework, research, and specialized projects. In addition, each assistant may be assigned to support a center, program, journal or other faculty administrative work associated with the Haas School.

Each faculty assistant works independently to provide a high level of customer service to faculty members, students, staff at Haas, the larger Berkeley campus community and visitors. Using a collaborative approach to establish and maintain effective administrative support, each faculty assistant shares information and practices with team members. Effective and efficient administrative support allows our students and faculty to do their best work.

Major duties include subject matter group support, general faculty support, editing, accounting, project management, and web page production/computing services. The Faculty Assistant will perform most or all of the following duties.


Provide administrative support for one of the faculty academic areas: Accounting, Business and Public Policy, Economic Analysis and Public Policy, Finance, Marketing, Operations and Information Technology Management, Management of Organizations and Real Estate- support assignment may include faculty outside of the particular group or discipline.

Respond to faculty group requests such as space for group business meetings, reservations at restaurants and logistical planning and execution for all details related to semester seminar events.  With supervisor approval, assist recruiting office during interviews, visits of newly admitted students or job talks.

Create and maintain database for mailing lists, provide confidential assistance on group reports, update the group web page as appropriate and announce seminars by e-flyer.

Individual support may include: serve as a contact person when a faculty member is unavailable; correspond with individuals or groups by phone, letter, or email about meetings, research papers or class assignments. There may be requests related to visitors to Haas such as parking passes, directions and lodging. Events may include ordering refreshments which includes payment within thirty days to vendors or working with the campus travel tool and policy to locate and confirm airfare.

General administrative support may include: prepare contracts for professional services, data entry projects such as form letters, mailing labels, annual updates in the new electronic achievement and review system for ladder rank and adjunct faculty, and curricula vitae; web/Internet searches including UC Berkeley library searches, scanning articles and other documents; edit, format and proofread research papers, exams or power point presentations.

Arrange for shipping, purchase books and office supplies. Initiate recruitment for student positions, coordinate student employee personnel changes, and monitor payroll funding accounts.

General office management: organize files, locate a book or file, report maintenance & repairs, resolve a telephone equipment problem.

Semester support can include: arrange for duplication of class materials in compliance with copyright regulations, deliver or pick up items from a classroom, create a student seating chart using photos, arrange for make-up exams, work with the campus DSP program for special need requests to take exams or make exams available for review to students. Must keep current on all University policies governing privacy of student records and data security.

Special circumstances may include gathering merit/promotion review materials under the direction of the Dean’s office staff.

Comply with current purchasing and reimbursement policy as governed by the UC Office of the President.  Monitor Haas research grant fund accounts and the charges related to purchasing or Travel and Entertainment reimbursement. Work cooperatively with Haas Business Service to ensure prompt processing for reimbursement requests. Correspond with another institution about a faculty member’s reimbursement for travel as requested. Provide University purchase card compliance during purchase and reconciliation.

Required Qualifications

•  Related experience in providing administrative support to a group of 8 – 12 faculty or managers (from an accredited degree granting university/college) or similar environment.
•  Demonstrated experience providing high level of customer service
•  Attention to detail while managing shifting priorities
•  Accurate record keeping, organizational skills and experience with online accounting systems
•  Experience with scheduling for groups as well as creating individual visit itineraries
•  Demonstrated strong written, editing, and verbal communications skills, with excellent interpersonal skills
•  Demonstrated ability to manage high volume incoming email from faculty, students and external customers
•  Demonstrated ability to learn and adapt to new business processes and software tools on a frequent basis
•  Demonstrated intermediate-to-advanced skills using Microsoft Office Suite (Word, Excel, PowerPoint)
•  Demonstrated ability to take initiative and be proactive especially in problem solving; utilizing resources for clarification and/or instructions to increase efficiency
•  Effective interpersonal  and relationship-building skills for working in a large community
•  Well-developed interpersonal communication with a high level of diversity awareness

Preferred Qualifications

•  UC campus experience or similar academic setting
•  Understanding of University policies and procedures, experience with Berkeley Financial Systems and BAIRS reporting portal

Salary & Benefits

The salary for this fulltime temporary position will range between Step 1: $3454 per month up to Step 7: $ 3,959 per month and partial benefits

This is a fulltime, Limited Term (Temporary) position.  The position is classified as a (_) Assistant III.

Interviewed candidates will be required to complete a writing exercise.
