Job Description:  

Faculty Assistants are a part of the Administration unit of the Haas School of Business. Under minimal supervision from the Lead Faculty Assistant incumbents provide comprehensive administrative support to faculty in their coursework, research, and specialized projects. In addition, each assistant may be assigned to support a center, program, journal or other faculty administrative work associated with the Haas School.

Each faculty assistant works independently to provide excellent customer service to the faculty group, students, staff at Haas, campus community and visitors. To establish and maintain effective administrative support, each member of the faculty assistant group shares information and practices in an organized and collaborative approach. Effective and efficient administrative support allows students and faculty to do their best work.

Major duties include subject matter group support, general faculty support, editing, accounting, project management, and web page production/computing services. The Faculty Assistant will perform most or all of the following duties.


Responsibilities:  

FACULTY GROUP SUPPORT:
Provide administrative support for one of the faculty academic areas: Accounting, Business and Public Policy, Economic Analysis and Public Policy, Finance, Marketing, Operations and Information Technology Management, Organizational Behavior and Industrial Relations and Real Estate- support assignment may include faculty outside of the particular group or discipline.

Respond to faculty group requests to make faculty member reservations at restaurants, find space for group business meetings, and provide weekly logistical planning and execution for all details related to semester seminar events.  With supervisor approval, assist recruiting office during interviews, visits of newly admitted students or job talks.

Create and maintain database for mailing lists, provide confidential assistance on group reports, update the group web page as appropriate and announce group seminars by e-flyer.

FACULTY MEMBER SUPPORT
Individual support may include: serving as a contact person for faculty members when unavailable; corresponding with individuals or groups by phone, letter, or email about meetings, research papers, class assignments or subjects related to visiting Haas such as parking passes, directions and lodging; ordering refreshments including payment within thirty days to vendors or working with the preferred campus travel agency to find and confirm optimal travel arrangements.

General administrative support may include: data entry projects such as form letters, mailing labels, annual update for bio-bibliographies and curricula vitae; web/Internet searches, scanning articles and other documents; editing, formatting and proofreading research papers or power point presentations.

Arrange for shipping, purchase books and office supplies. Initiate recruitment for student positions, coordinate student employee personnel changes, and monitor payroll funding accounts.

General office management: organize files, locate a book or file, report maintenance & repairs, resolve a telephone equipment problem.

During the semester support can include: arranging for duplication of class materials in compliance with copyright regulations, delivering or picking up items from a classroom, assisting in preparing the reader for the class, making a student seating chart using photos, arranging for make-up exams, providing special need requests to take exams or make exams available for review to students and keeping current on all University policies governing privacy of student records and data security.

Special circumstances may include gathering merit/promotion review materials under the direction of the Dean’s office staff.

ACCOUNTING:
Comply with current purchasing and reimbursement policy as governed by the UC Office of the President.  Monitor research grant fund accounts and the charges related to Purchase Order, Travel and Entertainment reimbursement. Work cooperatively with the Business Service to ensure prompt processing for reimbursement requests. Correspond with another institution about a faculty member’s reimbursement for travel as requested. Provide Blu card purchase compliance and reconciliation.

Preferred:
•  UC campus experience or similar academic setting.
•  Understanding of University policies and procedures, experience with Berkeley Financial Systems and BAIRS reporting portal.
