Established in 1979 by Dean Emeritus Earl F. “Budd” Cheit, the Haas Annual Fund is the foundation of support for excellence at the Haas School of Business.  The Haas Annual Fund (HAF) raises private gifts on behalf of Haas School of Business from its students, alumni, parents and friends of the school.  HAF runs a successful fundraising program that includes direct mail, telemarketing, e-mail solicitations and stewardship projects.  These programs are complimented by personal and volunteer solicitation programs involving highly dedicated alumni fundraising volunteers. 

Reporting to the Director, Annual Giving, the HAF Administrative Assistant will provide administrative support to the Director and three Associate Directors to assist their ongoing efforts to engage and solicit alumni and friends of the Haas School of Business.
Administrative Support for Haas Annual Fund Director and Associate Directors: 
This customer-service position will routinely interact with alumni, administrators, faculty, students, staff and outside vendors.  Duties include calendar management, assisting with mailings, drafting correspondence and filing, preparing briefing materials, meeting and event coordination and follow-up, travel arrangements and expense reports, and other general support activities. 

Develop, Refresh & Run Reports: 
Responsible for developing, refreshing and running regular reports.  Duties include maintaining volunteer coding and solicitation assignments, and extracting data from central database using queries and utilizing reporting tools.  Responsible for regular production of reports and graphs to communicate performance of department and fundraising results to colleagues and alumni volunteers.  Ensure the accuracy of the data and segments being used by HAF for direct marketing and telemarketing projects.  Assist with other analytical projects for solicitation purposes.

Accounting and Vendor Relations
•  Processing payments using Berkeley Financial System (BFS) and the Travel and Entertainment System

Student Campaign Reporting and Support
•  Support the student campaigns by preparing materials, scheduling meetings and refreshing reports

Stewardship initiatives for Haas Annual Fund:
Facilitate Haas Annual Fund stewardship efforts for donors, prospective donors via small events, targeted small mailings, specialized gifts, etc.  The position will provide detailed technical and logistical support for HAF stewardship initiatives, projects and special events.  Occasionally, support will be needed for department-wide initiatives including publications, projects and events
•  Excellent interpersonal skills and ability to work effectively with diverse alumni, faculty, students, staff and others 
•  Must be diplomatic and capable of maintaining good relations with alumni and donors.  Ability to handle complex and confidential information with discretion
•  Excellent interpersonal and communication skills; keen attention to detail and accuracy
•  Proficient at meeting deadlines and responding to inquiries and/or requests in a timely manner; Must be able to adapt to changing priorities 
•  Ability to work independently and as a member of a team with minimal supervision; Comfortable in a fast-paced environment; Ability to remain current with changes to systems and processes
•  Demonstrated record of reliability including excellent attendance and punctuality
•  Excellent command of contemporary office hardware and PC software

PREFERRED SKILLS:
•  Experience in an academic environment
•  Experience with development-related databases such as Raiser’s Edge and CADS; Proficiency in developing and producing analytical reports and utilizing data
•  Training and proficiency in BFS and preparation of travel and entertainment vouchers preferred
•  Detailed knowledge of University purchasing policies and procedures is preferred
This is a full-time, career position classified by the university as (_)Assistant III.
