Provide professional services for the 500 full-time MBA students and the Berkeley MBA Career Services office using knowledge of department services, career resources, and career events:
• Primary resource for students (in-person, on-line and on the phone) inquiring about Berkeley MBA Career Services. Provide back-up support to the Program Manager and the Operations Manager for updating information on Career programs, tracking of participants, and career services offerings.
• Direct inquiries to the appropriate staff member or adjunct career advisors, depending on the inquiry.
• Coordinate closely with the Director, Program Manager and Operations Manager to maintain superior customer service at all times.
Program Management
• Review and edit workshop and presentation materials to ensure quality control.
• Maintain and continue to develop CSO resources for the online and in-house libraries. Review current resources and update as needed. Review new materials and add to the libraries if deemed relevant.
• Assist Career Services staff with special programs and events such as the Career Management Conference (over 100 workshops over a 2-day period); Super Saturday; Recruiters’ Day; Resume Parties and the Leadership Conference (a full-day event held four times per year). Make all logistical arrangements for these events, i.e. room, a/v and catering; handout materials preparation and distribution
Oversee the adjunct career advisors program. Maintain their interview schedules for advising and mock interviews. Design and implement advising evaluations and monitor the feedback to ensure the quality of the advising services offered.
Administrative and Customer Service
• Process department invoices/deposits and credit card transactions
• Audit advising and mock interview scheduling to ensure scheduling is staying within budgeted amounts
• Maintain vendor/accounting files
• Oversee and execute reciprocity program – approving and arranging visiting students visits to Haas and Haas student visits to other University Career Services offices
• Provide customer services to 500 full-time MBA students by serving as the primary contact via face-to-face, email, and phone. Respond to approximately 20-30 inquiries on a daily basis.
• Schedule student career advising sessions with the CSO staff on Calagenda.
• Manage Adjunct career advising schedules and mock interview schedules – outreach to students if schedules are not filled; manage waitlists, if schedules are overbooked.
• Provide promotional information regarding Career Services through various promotional outlets, i.e. emails, Haas Event Calendar and the CSO intranet site, CareerNet. Disseminate marketing materials to students through various media channels such as those mentioned above.
• Assist in the coordination of the career center programs including special seminars, events, presentations, workshops, interview practice sessions and advising sessions. Collect deposits, set up conference rooms to the specifications required by the workshop presenter, arrange for AV equipment to be delivered to locations where workshops, special events and seminars are being held. Distribute evaluation forms to those attending and collect after completion of the workshops.
• Oversee student evaluation process of CSO advising services
• Review resumes and cover letters submitted by students for on-campus recruiting positions to check for accuracy before they are submitted to the corporate recruiters.
• Provide promotional information regarding Career Services through various promotional outlets, i.e. emails, Haas Event Calendar and the CSO intranet site, CareerNet.
Manage additional projects as assigned
• College Degree or equivalent combination of education and experience
• 2-4 years experience providing high quality customer service in a professional, business environment; experience with event management or in hospitality industry strongly desirable.
• Strong interpersonal skills
• Proven ability to juggle multiple tasks under pressure, with attention to detail and follow-up skills
• Exceptional oral and written communication skills
• Proficiency in Excel, Word, Good project management skills, working well in groups and showing good judgment.
PREFERRED SKILLS:
• Strong interest in Career Services, Career Development and Business
• Some web development experience desirable.
• In-Design, Photoshop, PowerPoint, HTML and web based applications
• BFS experienced preferred, P.O.s, Travel & Entertainment, Blu Card reconciliation
