Job Description:  

The Walter A. Haas School of Business is one of the largest professional schools on the UC Berkeley campus, comprising over 70 senate faculty and approximately 90 non-senate instructors, employing more than 200 staff and serving over 1,700 students.  The School offers seven degree programs – an upper division major, three MBA programs targeted to differing student populations, a Masters in Accounting and Masters in Financial Engineering and the Ph.D. in Business Administration.  Additionally, the School operates several non-degree programs for business executives.

The Accounting Assistant is part of the Business Services unit at the Haas School of Business.  Under direct supervision of the Business Manager, and minimally from the accounting analysts, the incumbent will provide quality professional administrative support services for the Business Services group.  The Business Services group is supporting the purchasing, reimbursement and payment activities of Haas employees so that they can best achieve their objectives for teaching, research and community service.  The incumbent will have responsibility for assigned duties in support of the Faculty and Academic units.  Working with the Business Manager, the incumbent will establish methods for analyzing, prioritizing, organizing and completing detailed tasks.  The incumbent will work closely with preparers and campus to define and document Haas reimbursement processes and controls.  Major duties will include travel and entertainment reimbursement processing, preparing purchase orders/purchase requisitions, creating and maintaining filing systems for payments and reimbursements, producing routine financial reports and assisting with group administrative activities.

 


Accounting Support :
Perform accounting and reporting tasks using the Berkeley Financial System (BFS), Berkeley Travel & Entertainment systems and Berkeley financial reporting system (BAIRS).

•  Receive receipts and business explanations required to process expense vouchers for travel, entertainment, purchases and memberships
•  Submit reimbursement requests in a timely manner and take initiative to follow-up through completion of payment
•  Prepare and process purchase orders.  Set up vendors in BFS as needed
•  Liaison with vendors regarding proper invoicing procedures and documentation
•  Research issues or problems that arise from submissions with incorrect documentation
•  Communicate with the Faculty Assistants and other Academic groups regarding any special policy requirements needed for appropriate reimbursement
•  Run routine monthly financial reports for faculty expense accounts

General Administrative Support:
Under minimal supervision, provide a variety of business services duties including, but not necessarily limited to, the tasks described below.

•  Organize assignments to fulfill special instructions, quality standards and meet deadlines despite frequent interruptions
•  Assist with faxing, copying and mailing needs as requested
•  Answer inquiries from students, faculty, coworkers and the general public Direct inquiries to appropriate individuals or departments for further information or assistance
•  Coordinate special projects, creating and maintaining databases as needed
•  Monitor copiers, printers and fax machines; change toner, clear jams, test copy quality and report major problems to the help desk

 

•  Two years experience as an administrative assistant
•  Effective oral/written English and interpersonal communication skills
•  Ability to prioritize and manage multiple projects
•  Ability to work effectively under pressure and within tight deadlines
•  Attention to detail
•  Self-motivated
•  Demonstrated ability to establish and maintain professional working relationships 
•  Proficiency using Microsoft Office (Word, Excel, PowerPoint) and office computing hardware and software

Preferred:
•  Experience using Berkeley financial systems; BFS, BAIRS and Travel & Entertainment

 

This is a full-time position, classified as a (_) Assistant III.
