Job Description:
Reporting to the Executive Director of the Evening & Weekend MBA Program (EWMBA), the Program Coordinator provides support and services to more than 750 students, as well as to staff, faculty and alumni of the EWMBA. This student services professional’s primary focus is to facilitate communication and interaction by providing a wide variety of services to EWMBA students from entry through graduation. In addition, the Program Coordinator, as a key member of the program staff, works to ensure high levels of customer satisfaction among the EWMBA Program’s various constituencies.
Responsibilities:
Student/Faculty Services
• Answer questions from current students, faculty, and other Haas units regarding program requirements and requests for assistance.
• Manage transportation services for students, including parking permit purchase and distribution, as well as shuttle service scheduling.
• Serve as primary liaison to Media Services on media needs
• Manage collection of grades from instructors, and maintain database of student grades.
• Produce and distribute student grade letters.
• Coordinate the production and publication of the program face book.
• Gather course information (i.e., course descriptions and syllabi) for enrollment processes.
• Distribute and maintain class registration lists for faculty.
Facilities and Student Record Services
• Coordinate facility needs (i.e., room reservations, facility access, order security and janitorial services as needed) at Haas and our weekend Santa Clara location
• Assist in administration of registration processes
• Assist in maintenance of EWMBA web pages
• Maintain e-mail aliases
• Maintain student database
• Run statistical reports
Event Planning
• Assist in event planning (i.e., catering, reservations, and set-up) for program events such as Orientation, Graduation, the Mid-Program Academic Retreat, Elective Nights, and Dinner Minglers
Requirements & Qualifications:
• Bachelors degree or equivalent combination of education and experience
• Demonstrated outstanding organizational, written and oral communications skills
• Strong interpersonal skills required for working with various constituencies
• Experience working in fast-paced environment with sophisticated and demanding clients
• Strong customer service orientation
• Must be self-motivated and able to work independently as well as be an integral member of a team-oriented office.
• Must have strong attention to detail
• Must be able to work evenings and weekends as required with occasional travel to the South Bay
• Demonstrated excellent skills in Microsoft Office, including Access
PREFERRED SKILLS:
• Prior experience working with MBA students
• Prior experience working within student services
• Experience with web page editing software (e.g. Dreamweaver)
