This policy outlines the guidelines for using printing resources at Haas to promote efficient and responsible printing habits.
Sec. 2: Scope
This policy applies to all Haas units which have printing devices managed or maintained by Haas Technology Solutions.
Sec. 3: Responsibilities
- Haas Technology Solutions (IT Dept.):
- Maintain and repair printers.
- Replenish toner cartridges.
- Manage print servers and ensure network security.
- Haas Units:
- Use the company’s printing resources responsibly and efficiently.
- Print only essential documents.
- Consider alternative methods like electronic document sharing whenever possible.
- Report any printer error issues to Haas Technology Solutions via [email protected].
Sec. 4: Printing Guidelines
- Paper: Haas Technology Solutions will not provide office paper for Haas Units’ printing devices. Haas Units are responsible for budgeting and acquiring their own paper supplies.
- Printing Defaults: Double-sided printing will be the default setting on all printers. Employees can choose single-sided printing only when absolutely necessary.
- Color Printing: Color printing should be limited to situations where it is crucial for the document’s purpose. Black and white printing is preferred for most documents.
- Print Jobs: Review print jobs before hitting print to avoid unnecessary copies.

While toner levels, maintenance requirements, and general printer health can be monitored remotely, printer paper levels cannot– especially when paper is stockpiled in storage. Department staff are best able to determine appropriate printer paper stock levels and when to replenish the stock based on actual paper usage. Printer paper is heavy and shipped to us in bulky boxes containing multiple reams of paper. Having printer paper be purchased and replenished by the individual departments where the printers are located helps decentralize the heavy lifting on our staff who provide service to printers.
Departments that cannot track paper inventory levels or place paper orders regularly can request that their department default to the centralized printer options throughout the school. In these cases, the printer will be scheduled for decommissioning and removed from the department’s office area.
